Tasks, board and my tasks

Tasks in CRM are three screens over the same data: All tasks (a list), Board (kanban) and My tasks (a personal dashboard). A fourth screen, task settings, opens from the gear icon in the submenu header.

  • Simple — a personal to-do. It never reaches the board: its home is My tasks and All tasks.
  • Project task — with subtasks, comments, history and a place on the board.

The kind converts both ways, but only on the task page: the create form has the switch, the edit form does not.

All tasks and Board share a header: a summary like “Board · 42 tasks · 6 overdue · 4 with the agent”, a Board / List switch, a “Filters” button and “+ New task”.

The filters are shared between both views: project, assignee (me or the agent), priority, label (multi-select), deadline (overdue, today, this week, no due date) and search over the title and description. The reset button appears only when something is active and clears everything at once, search included.

Tabs are “All” plus one per status with a counter. Statuses hidden on the board are visible here: there is no separate “Completed” screen any more, “Done” is an ordinary tab.

Columns: task · project · status · priority · assignee · due date. Clicking a column header sorts by it; the third click turns sorting off. By default completed tasks always sit at the bottom, open ones are ordered by due date and then by priority.

Clicking a row opens the task page. A right click or “⋯” opens the context menu: edit, status, priority, start/stop timer, delete.

The board columns are the visible statuses. “Done” is hidden by default, so it usually isn’t on the board.

A card shows the project, the title, a priority chip and the due date, a subtask counter and the assignee. If the task is in Waiting for decision, the agent’s latest question is shown on the card itself — as text with a yellow bar on the left.

Dragging starts from the handle on a card; the column under the cursor is outlined and dropping saves the status straight away. “+ Add task” at the bottom of a column creates a project task in that status.

Waiting for decision is a system status for agent tasks: the agent reached a fork that needs a human and stopped. The badge next to the Board item counts exactly those tasks; if you move one of your own tasks into that status by hand, it is not counted.

A dashboard of its own rather than another filter: there is no filter bar and no view switch here.

“Mine” means every local task plus Jira tasks assigned to your address. Four metrics on top: today, this week, overdue, completed this week.

The sections: simple tasks (the slice that never appears on the board), overdue with a “Reschedule all” button that moves every overdue due date to today in one click, today, and this week grouped by day.

The checkbox in a row completes a task and returns it to work; clicking the row opens the same task page as everywhere else.

The title becomes editable when you click it. Below it are the status and priority chips, plus a red due-date chip on an overdue task. A completed task shows a lock banner: to change anything, return it to work first.

The left column:

  • Summary — an AI summary. The text can be edited by hand, and “Refresh” queues a background generation;
  • Description — markdown, in the same editor as a note, with autosave;
  • Subtasks — a checklist with progress;
  • Acceptance criteria — read-only, the interface has no field to enter them;
  • Activity — three tabs: comments (agent questions carry a “Question” badge), the change history, and attachments. The attachments tab is read only — you cannot add or open a file from it.

The right column: properties (status, priority, project, assignee with a separate “Agent” entry, due and start dates, task kind), time tracking with a timer and an estimate, tags, the source (the email, note or meeting the task came from) and related — the client and the contact person inherited from the project.

“Share” copies a link to the task, “Open in a tab” opens it as an app tab.

The only section is statuses: now that a status and a board column are one concept, this is a single list.

  • + creates a status. The form has one field, the name — the colour is assigned automatically;
  • the handle on the left changes the order: the position of a status is the position of its column on the board and of its tab in the list;
  • the eye shows and hides a column;
  • system statuses (to do, in progress, waiting for decision, review, done) are marked with a lock: only their visibility can change;
  • deleting a custom status moves its tasks to “To do” and asks for confirmation.

Assigning a task on a client. “+ New task” → kind “Project task”, the project, a due date and a priority → save → open the task and pick the assignee under “Properties”. The create form offers the current user only: the assignee can be changed once the task exists.

Clearing tasks that wait for a decision. The badge next to Board shows how many there are → open the board and read the question on the card → open the task, answer with a comment and move the status.
