Documents — overview

Documents are other people’s files: contracts, invoices, decks, scans, PDFs out of newsletters. Unlike notes, you don’t write them — you put them somewhere so you can find them and ask about them later.

The section lives inside the Notes module, under “All documents”.

  1. The file is saved into your data folder.
  2. Text is extracted — from PDFs, office formats, plain text. Images and scans go through text recognition.
  3. The text is split into fragments and indexed — full-text and vector.
  4. A document card appears: title, type, size, pages, language.

Parsing and indexing both carry a status. If the format isn’t supported or the file is broken, you can see it rather than having it hidden in a log.

PDF, office documents and spreadsheets, presentations, plain text and Markdown, images. Video and audio are stored as files; for sound there is a separate Recordings module.

The structure here is deliberately plain — two things, no hierarchies, no rules:

  • Collections — folders for documents. A document sits in one collection or outside all of them: on upload that’s the “Inbox”, in the move menu it’s “Uncategorised”.
  • Tags — flat labels, assigned at upload time.

The list searches by title, and picking a collection in the submenu narrows it to that collection. Each row shows the date, size, extension and the collection with its colour.
